Description
This is a challenging role for a highly motivated, intelligent, and self-directed individual looking to work in a fast paced and energetic environment. This position is an opportunity for an experienced Administrative Assistant looking to join a growing company where he/she can draw on his/her skills and experience to contribute and be valued as a part of a global team.
You will report to the VP/GM for the DCI Business Unit and be responsible for supporting the DCI Business Unit, be the local admin for our Everett site and provide backfill support to the Executive Assistant for the President. The ideal candidate must have strong interpersonal skills, be comfortable working in a highly-visible role and interacting with the senior leaders of the company.
Key Responsibilities:
· Schedule meetings, maintain calendars across multiple time zones, coordinate meeting schedules
· Research, schedule and manage domestic and international travel arrangements that are subject to regular change
· Provide logistic support for meetings, prepare and coordinate documents and coordinate action items that result from various meetings
General administrative activities:
· Phone screening, voice mail management; responding to external calls
· Ordering office supplies and computer equipment
· File and document management, physical and network-based
· Expense reporting
· Coordinate site events such as team recognition events
· Manage conference rooms and track department expenses
Document and presentation management:
· Prepare, modify and produce presentations and reports
· Prepare and organize pre-meeting and post-meeting materials and reports as needed
Qualifications
Prospective candidates for the Administrative Assistant position will have a minimum of 3 years’ experience with a solid track record providing administrative support for multiple senior-level executives, ideally in a fast-paced technology environment. The successful candidate will be an organized, high energy and detail-oriented individual who can work independently and prioritize daily tasks with little guidance, who has excellence communication skills and an ability to work effectively within the department and across the company. S/he will be process and analytically focused, with the ability to multi-task and set appropriate priorities and pro-actively anticipate and resolve issues.
