Description
VSS Monitoring is looking for an experienced order manager to work within the Sales Operations team. Each team member is responsible for the complete ‘quote to order’ process for their territory, which includes all aspects of the global order management process. You will work directly with VSS Sales Reps, SEs, Technical Support, Finance, Production, and reseller and technology partners to resolve issues with orders in a timely and efficient manner.
Job Responsibilities
· Process customer purchase orders.
- Verify product configuration with the sales team, ensure correctness and completeness of part numbers.
- Accept purchase orders – verify that they are complete, that shipping terms are acceptable to VSS, ‘ship-to’ address is complete, etc.
- Acknowledge acceptance to the customer.
- Generate sales orders from accepted purchase orders and send to manufacturing for processing.
- Confer with product management, inventory to get correct part numbers into ERP system as needed.
- Answer any questions that the production team has about the order.
· Update CRM system to match the approved purchase order.
- Update stage, attach PO, update with estimated shipping date and actual ship date and tracking information.
- Occasionally, create a CRM record for an order when the sales rep has not yet created the record.
- Update daily sales bookings records, products ordered, customers’ information.
- Own the communication with the customer regarding the order
- Proactively communicate expected ship date.
- Process and respond to email inquiries regarding delivery time or issues.
- Inform customers by email of order information, such as unit prices, shipping dates, and any anticipated delays.
- Work with accounting department to help keep accounts receivables current.
- Work with technical support and manufacturing staff to expedite any pending RMAs.
· Maintain communications with sales team so that they are informed of process changes, end-of-quarter deadlines, shortages, etc.
· Occasionally generate sales quotes.
- Work with sales reps to get complete, correct product configuration.
- Prepare quotes for certain partners with specific requirements.
· Track quality of POs and Sales Orders.
Qualifications
Requirements:
· Bachelor’s degree
· Oracle 12 experience
· At least 4 years of relevant experience – accounting and manufacturing operations preferred
· Meticulous and self-motivated with excellent communication and organizational skills
· Demonstrated good interpersonal & communication skills with a proactive approach to communication
· Excellent listening, writing, and verbal communication skills
· Ability to consistently follow and maintain process
· Ability to multitask and prioritize between several projects
